Job Description

Administrative Assistant for the Chief Administrative Officer
GENERAL DESCRIPTION
Responsible administrative work involving the performance of a variety of administrative duties in support of the Chief Administrative Officer (CAO). Principal administrative assistant for the office of the CAO and serves as secretary and office manager for the office. Responsible for preparation of correspondence, reports and budget documents, typing, filing and records management, extensive use of computer programs and equipment, schedules meetings and hearings, and performs a myriad of other related duties. Manage confidential information and exercise judgment in making decisions regarding office management and work priorities.
SUPERVISION RECEIVED
The Administrative Assistant reports to the CAO.
EXAMPLES OF DUTIES
1.Serves as principal secretary, and office manager for the office of the CAO including interacting with the public. Assesses and handles incoming calls including constituent concerns and insures a proper and prompt response. 2.Uses data processing to prepare a wide variety of materials and documents. Uses spreadsheet programs to create charts and graphs for budgeting and other purposes. 3.Performs data entry and creates reports on Town operations and management. 4.Prepares requisitions, invoices, and other financial forms. 5.Assists the CAO to prepare the Town's municipal operating and capital budget documents by performing data entry of budget figures and other financial data. 6.Prepares and analyzes management, operational and financial reports 7.Provide clerical support to the Office of the Mayor, as needed. 8.Performs all other duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES
1.Telephone and interpersonal skills and ability to interact effectively with the public. 2.Knowledge of the principles and practices of office management and record keeping. 3.Excellent verbal and written communication skills. 4.Advanced word processing and typing skills, and demonstrated proficiency in the use of computer technology and software programs including Word, Power Point, Excel, Access and others.
KNOWLEDGE, SKILLS AND ABILITIES
cont'd: 5.Understanding of, and experience, with budget preparation. 6.Ability to prepare reports involving diverse, technical and detailed work with high degree of accuracy and efficiency. 7.Ability to manage multiple tasks. 8.Ability to maintain confidentiality to protect sensitive information. 9.Excellent organizational skills and ability to prioritize tasks and meet deadlines. 10.Collaborative skills and willingness to work as part of a team. 11.Ability to establish and maintain effective working relationships with superiors, coworkers and associates, vendors, customers and the general public.
QUALIFICATIONS
A four-year college degree or at least five years of relevant progressively responsible professional experience in a business organization or public entity involving administrative assistance to, and analysis for, an executive level position; A degree in public administration, business administration, finance or related field is preferred. Government experience is preferred.
SALARY RANGE
