Job Description

Kenilworth Association , an upscale Condominium building located in Bal Harbour Village, FLA, is looking for a Condominium Association Administrative. The Kenilworth Administrative Assistant provides high-level support to the Manager, ensuring smooth daily operations, high-end customer service for residents, and adherence to building policies. The Kenilworth Administrative Assistant acts as a liaison between residents, the Board of Directors, staff and contractors, maintaining a polished and professional environment. Key Responsibilities of this Role include but are not limited to: •
Resident Services & Communication:
Act as the primary contact for residents, responding to (or directing to the appropriate person) inquiries, complaints, and service requests professionally and promptly. •
Front Office Management:
Greet visitors, manage high-volume phone calls, and handle incoming/outgoing correspondence. •
Administrative Support:
As the request of the Manager and Board, prepare, edit, and distribute correspondence, memos, emails, and reports (e.g., agendas, meeting minutes). •
Operations:
Assist in employee scheduling; update and maintain building policies and directions from the Board; maintain office supplies •
Data & Records Management:
Maintain accurate electronic and hard-copy files, including owner records, lease agreements, and service contracts. •
Financial Support:
Assist with accounts payable/receivable, such as coding invoices for approval, tracking common expenses, and processing payments. •
Board/Owner Meetings:
Assist with preparing packages for Board meetings and coordinating Annual General Meetings (AGMs). Requirements and Skills Experience as a Condominium or Home Owners Association Administrative Assistant is an asset Experience working with or in a Condominium Association or a hospitality setting Excellent interpersonal skills Working towards or with the intention of obtaining a CAM License Knowledge of office management systems and procedures Working knowledge of office equipment Advanced proficiency in MS Office (MS Excel and MS PowerPoint, in particular) Proficiency in Enumerate Central Excellent time management skills and the ability to prioritize work Attention to detail and problem-solving skills

$21.00 - $25.00 per hour
