Front Desk Specialist for busy Property Management Company We are a fast-paced Property Management Company seeking a motivated and customer-oriented Front Desk Specialist to join our team. This is a 40 hour a week position, working 8:30 am to 5 pm. We are looking for an experienced individual who has prior experience with HOA's and Condominium. We are a fast-paced and growing Property Management Company seeking a motivated, detail-oriented, and customer-focused Front Desk Specialist to join our team. This role is ideal for an individual who thrives in a dynamic environment, possesses strong organizational skills, and is committed to delivering exceptional customer service. The successful candidate will serve as the first point of contact for residents, board members, vendors, and visitors, providing professional and courteous assistance while supporting the day-to-day operations of the management office. This is a full-time position, working 40 hours per week, Monday through Friday from 8:30 a.m. to 5:00 p.m. We are seeking an experienced professional with prior experience in homeowners' associations (HOAs), condominium associations, or community association management. The ideal candidate will have a strong understanding of community association operations, excellent communication skills, and the ability to effectively manage multiple priorities in a fast-paced environment.
Responsibilities:
Answer and manage phone calls with professionalism and exceptional customer service skills. Take work orders from residents and ensure timely follow-up. Provide administrative support to the property management team Maintain organization of resident records and communication
- Deliver exceptional customer service by professionally answering, screening, and routing incoming calls while maintaining a positive and welcoming experience for all callers.
- Coordinate the intake, tracking, and follow-up of resident work order requests, ensuring accurate documentation, timely manager review, and responsive communication throughout the resolution process.
- Manage the administrative processing of Architectural Review Committee (ARC) applications, including receipt, documentation, tracking, and timely distribution to staff for review. Provide exceptional customer service by assisting residents with application requirements, community guidelines, and related inquiries throughout the review process.
- Provide administrative support to the Community Management Team by maintaining organized resident records, managing correspondence and documentation, and assisting with day-to-day operational responsibilities.
Collaborate with team members to ensure efficient office operations and deliver exceptional service to residents, board members, and vendors. Qualifications:
