Job Description

We are seeking an exceptional Administrative Assistant who thrives in a fast-paced environment and takes pride in being the organizational backbone of a successful business. The successful candidate will be a proactive self-starter with outstanding organizational abilities, strong communication skills, and the confidence to handle a wide variety of responsibilities with professionalism and discretion. Large scale transportation experience a plus Key Responsibilities Manage calendars, appointments, meetings, and scheduling logistics Coordinate travel arrangements, itineraries, and accommodations Prepare correspondence, reports, presentations, and spreadsheets Maintain digital and physical filing systems Serve as a professional point of contact for clients, vendors, and team members Assist with project coordination and administrative support functions Organize and prioritize multiple tasks while meeting deadlines Handle confidential information with the highest level of discretion Anticipate needs and proactively resolve issues before they become problems Support executive leadership with day-to-day administrative operations Desired QualificationsCore Skills & Competencies Exceptional organizational and time-management abilities Strong verbal and written communication skills Excellent attention to detail and accuracy Ability to work independently with minimal supervision Proven problem-solving and critical-thinking skills Professional demeanor and positive attitude High level of initiative and accountability Ability to adapt quickly to changing priorities Technical Skills Advanced proficiency with Microsoft 365 (Word, Excel, Outlook, PowerPoint) Experience with cloud-based document management systems Comfortable using Zoom, Microsoft Teams, and other virtual meeting platforms Strong digital file management and information retrieval skillsPersonal AttributesThe ideal candidate will demonstrate: Absolute discretion and confidentiality High emotional intelligence and interpersonal awareness Professional maturity and sound judgment Adaptability in a dynamic work environment Diplomacy when interacting with diverse personalities A commitment to maintaining a positive and productive workplace culture Additional Responsibilities As a trusted member of the executive support team, the Administrative Assistant may also assist with various day-to-day tasks that contribute to overall office efficiency and executive productivity, including: Coordinating and running occasional local errands Picking up office supplies, client materials, and business-related purchases Assisting with lunch orders and meeting refreshments Maintaining executive office supplies and beverage inventory Stocking refrigerators, coffee stations, and break areas Delivering documents and materials between business locations when necessary Assisting with event preparation and meeting setup Supporting special projects and miscellaneous administrative requests as assigned The ideal candidate understands that no task is too small when it contributes to the success of the organization and takes pride in providing exceptional support wherever needed.
