Job Description
Job Overview:
We are seeking a dynamic and highly organized Investment Administrative Assistant to my team. In this vital role, you will serve as an important teamplayer for our investment operations, providing comprehensive administrative support to ensure smooth and efficient workflow. An energetic approach and attention to detail will help be important to facilitate client interactions, manage documentation, and coordinate daily investment processing.Responsibilities:
Manage and maintain client records with related documentation accuracy and confidentiality Assist with data entry, initiate and complete document filings. Support office tasks including calendar management, appointment scheduling, and meeting coordination for advisor and clients Handle incoming calls using multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer service skills Prepare correspondence, proofread documents for accuracy, and ensure all communications adhere to company standards Utilize computer skills across Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace to create reports, presentations, and spreadsheets Occasionally provide front desk support by greeting visitors, managing the front desk area, and maintaining a welcoming environment Assist with client inquiries via phone or email ensuring clear communication and customer support.Experience:
Proven office management or administrative experience in a professional setting Familiarity with clerical tasks such as data entry, filing, proofreading, and document organization Experience working with multi-line phone systems and providing excellent customer service Strong computer literacy including proficiency in Microsoft Office (Word, Excel) and Google Workspace applications Previous experience in financial or investment environments is preferred but not required Bilingual abilities are highly valued to support diverse client needs Demonstrated organizational skills with the ability to prioritize tasks effectively and manage time efficientlyPay:
