This vital role offers an exciting opportunity to support daily office operations, manage administrative tasks, and ensure smooth communication across departments. In this position, you will be the backbone of our office, handling a variety of clerical duties with enthusiasm and professionalism. Your proactive approach and excellent organizational skills will help us maintain an efficient, welcoming environment where everyone feels supported and valued. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with friendly professionalism Operate multi-line phone systems, answer inquiries, and route calls efficiently using proper phone etiquette Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools Handle scheduling tasks including calendar management and appointment setting for staff and executives Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping Organize filing systems—both digital and physical—to ensure easy retrieval of documents and compliance with record retention policies Provide excellent customer support by responding promptly to inquiries via phone, email, or in person while maintaining a positive attitude Support office management activities such as supply ordering, inventory tracking, and general administrative support Proofread documents for accuracy and clarity before distribution to ensure professional communication standards are met Qualifications Proven experience in office administration or clerical roles, preferably within a healthcare or professional services environment such as dental or medical receptionists Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Bilingual abilities are highly desirable to assist diverse client needs and enhance communication within the team Experience with front desk operations, multi-line phone systems, and phone etiquette is essential Knowledge of bookkeeping software like QuickBooks is a plus for supporting financial tasks Demonstrated ability to handle confidential information discreetly with high attention to detail Exceptional time management skills to prioritize tasks efficiently while maintaining accuracy in all responsibilities Join us as a Secretary/Administrative Assistant and become an integral part of our vibrant team!
