This role is vital in maintaining efficient administrative processes, providing excellent customer support, and managing office functions with enthusiasm and professionalism. The ideal candidate will be proactive, detail-oriented, possess strong communication skills to thrive in a fast-paced environment and a good computer skills . This paid position offers an exciting opportunity to develop your office management expertise while supporting our team's success. Responsibilities Serve as the first point of contact at the front desk, greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy Manage incoming correspondence, emails, and inquiries promptly and accurately Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices Support calendar management by scheduling appointments, meetings, and events efficiently Perform data entry tasks with high accuracy, including updating client records and maintaining databases Provide general administrative support such as proofreading documents, preparing reports, and handling mail distribution Qualifications Proven office experience with strong clerical and administrative skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Excellent computer literacy including data entry, document proofreading, and file management Strong organizational skills with the ability to prioritize tasks effectively Bilingual abilities are a plus to assist diverse clients and team members Experience with front desk operations, multi-line phone systems, and customer service excellence Knowledge of QuickBooks for bookkeeping is preferred but not required Exceptional phone etiquette, time management skills, and attention to detail are essential for success in this role
