Overview We are seeking a proactive and organized Administrative Assistant to join our dynamic team. In this role, you will be the backbone of our office operations, ensuring smooth daily functions and exceptional customer support. Your energetic approach and attention to detail will help us maintain efficiency and deliver outstanding service to our clients and team members. Responsibilities Manage front desk operations, greeting visitors and clients with professionalism and warmth Handle multi-line phone systems, directing calls accurately and courteously Perform data entry, filing, and maintain organized records using Microsoft Office, Google Workspace, and other office management tools Assist with calendar management and scheduling appointments for team members and technicians Support bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and basic financial record keeping Provide excellent customer service by answering inquiries via phone or email promptly and professionally Coordinate office supplies procurement and ensure the office environment remains organized and welcoming Experience Proven office management or administrative experience in a fast-paced environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Experience with QuickBooks or similar bookkeeping software is highly desirable Excellent organizational skills with the ability to multitask efficiently Bilingual abilities are a plus to serve diverse clients effectively Prior clerical experience including data entry, proofreading, filing, and document management is preferred Knowledge of phone etiquette, multi-line phone systems, and customer support best practices is essential Experience in medical or dental receptionist roles or personal assistant positions will be considered advantageous Join us to be part of a vibrant team committed to excellence!
