Job Description

We are looking for a detail-oriented, proactive, and service-driven individual to join our administrative team. In this role, you will be the key point of contact between clients, subcontractors, and management — ensuring smooth billing processes, accurate documentation, and proper insurance management across the company. Key responsibilities Process, verify, and invoice weekly work hours for all clients and subcontractors, including special accounts. Issue and record work order (WO) invoices, track payments, and prepare reimbursement checks. Manage all corporate insurance policies (general liability, workers' compensation, auto, umbrella, and property) and handle Certificates of Insurance (COI). Maintain and update employee and subcontractor records; support recruitment and training coordination. Serve as the primary point of contact for clients, handling inquiries and coordinating with the operations team. Keep an organized filing system (physical and digital) and assist in preparing administrative reports for management. Requirements Associate's or bachelor's degree in Business Administration, Accounting, or a related field. Minimum 2 years of experience in administrative roles, billing, or document management. Proficient in Microsoft Office (Excel, Word, Outlook) and automated billing systems. Knowledge of corporate insurance, invoicing processes, and basic accounting principles. Strong written and verbal communication skills; highly organized with great attention to detail. Ability to handle confidential information with professionalism and discretion. $19.00 - $20.00 per hour
