Overview We are seeking a dynamic and friendly Front Desk Agent to be the welcoming face of our organization. This energetic role involves managing front desk operations, providing exceptional customer service, and supporting office management tasks to ensure a smooth and professional environment. The ideal candidate will be highly organized, tech-savvy, and possess excellent communication skills, including bilingual abilities, to effectively assist visitors, clients, and team members alike. Responsibilities Greet visitors, clients, and staff with professionalism and enthusiasm, ensuring a warm and welcoming atmosphere. Manage multi-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette. Handle front desk duties such as checking in guests, scheduling appointments, and maintaining visitor logs. Support office management by organizing files, data entry, and maintaining accurate records using tools like Microsoft Office, Google Workspace, and QuickBooks. Assist with clerical tasks including proofreading documents, managing calendars, and supporting administrative projects. Facilitate communication across departments by coordinating meetings, managing schedules, and ensuring timely follow-up on inquiries. Perform light bookkeeping duties such as invoicing or tracking expenses when needed. Qualifications Proven office experience with strong organizational skills and attention to detail. Proficiency in computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and basic data entry skills. Experience with multi-line phone systems and excellent phone etiquette. Bilingual abilities are highly preferred to serve diverse client needs effectively. Strong clerical background with skills in filing, proofreading, and document management. Familiarity with office management software such as QuickBooks or similar accounting tools is a plus. Excellent time management skills with the ability to prioritize tasks efficiently in a fast-paced environment. Previous experience as a receptionist or administrative assistant in medical or dental offices is advantageous but not required.
