Job Description

Mondays, Wednesday & Fridays = 9am - 4pm Tuesdays & Thursdays = 11am - 4pm Administrative & Resident Services Duties
  • Answer incoming phone calls and address resident requests, complaints, and suggestions whenever possible; escalate issues to the Property Manager as needed.
  • Greet and assist residents, guests, vendors, and visitors at the front desk.
  • Compose and distribute resident communications, notices, emails, and community updates.
  • Create and maintain the monthly community calendar, including activities, events, birthdays, and anniversaries; design flyers and announcements as needed.
  • Maintain records of property keys, access codes, gate remotes, and related security information.
  • Prepare and assemble new resident packets; scan and enter approved owner documentation into tracking spreadsheets and systems.
  • Maintain office forms, applications, and informational literature displays for residents and owners.
  • Process Architectural Review requests by scanning, recording, and distributing approval/disapproval information to homeowners.
  • Prepare weekly irrigation request logs for the irrigation specialist and distribute for pickup.
  • Scan and forward invoices, Certificates of Liability, W-9s, business licenses, and related documents to the accounting department.
  • Order, receive, and maintain inventory of office, cleaning, and maintenance supplies. Laundry Room Oversight
  • Empty laundry machine coin boxes and roll quarters weekly or bi-weekly during summer months.
  • Inspect laundry equipment periodically, including softener dispensers and machine gaskets; coordinate cleaning and maintenance with maintenance staff.
  • Monitor machines for out-of-order notices, troubleshoot minor issues when possible, and report ongoing problems to the Property Manager.
  • Coordinate service calls for laundry equipment repairs when necessary. Mail Center Responsibilities
  • Collect mail from office mailboxes and distribute to the appropriate recipients.
  • Check suggestion boxes daily for complaints, maintenance requests, and irrigation requests.
  • Monitor and organize mail center areas, including misplaced mail, donation items, and common areas.
  • Empty the dehumidifier water bucket daily to prevent humidity damage to mail and mailboxes.
  • Refill maintenance request forms, suggestion forms, clipboards, and pens as needed. Office & Facility Maintenance
  • Restock office restroom supplies, including soap, paper towels, and toilet paper. Financial & Recordkeeping Duties
  • Prepare and mail notices, ballots, and official correspondence as directed by the Property Manager.
  • Accept and process payments for association fees, clubhouse rentals, storage fees, gate remotes, and laundry quarters.
  • Issue receipts and provide copies to residents upon request.
  • Prepare bank deposits, scan payment documentation, and upload records into the accounting system.
  • Maintain storage unit waitlists and prepare storage fee reports, including applicable state sales tax documentation.
  • Prepare and update resident directories as needed.
  • Process Golf Reserve monthly deposits and maintain supporting documentation.
  • Gather and submit invoices and supporting documentation related to monthly credit card statements for Accounts Payable processing.
Pay:
$17.00 - $17.25 per hour
