Front Desk Administrator / Pool Permitting Naples, FL 34109 From $850 a week - Full-time From $850 a week - Full-time Overview Join our dynamic team as a Front Desk Administrator, with knowledge of permits submission a plus, which can result in advancement for the right candidate. This is a well-established pool building company with a new additional location in the Naples area, where you will be the welcoming face and organizational hub of our higher-level clients' office. This vital role combines exceptional customer service with efficient administrative support, ensuring smooth daily operations and assisting the office manager with phone calls, leads, and emails. Your energetic and proactive approach will help create a positive environment for visitors, staff, and clients alike. Duties Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly. Manage multi-line phone systems with professionalism, directing calls accurately and courteously. Handle incoming correspondence, emails, and inquiries with clarity and efficiency. Maintain organized filing systems, data entry records, and ensure all documents are proofread for accuracy. Support office management tasks such as calendar management, appointment scheduling, and personal assistant duties. Utilize computer skills, including Microsoft Office, Apple Mac, Google Workspace, SharePoint, and other office software to facilitate daily operations. Assist with bookkeeping activities like basic bookkeeping entries and invoice processing to support financial accuracy. Requirements Proven experience in front desk or administrative roles within an office environment. Strong organizational skills with the ability to multitask effectively in a fast-paced setting. Excellent phone etiquette and customer service skills; bilingual ability is a plus but not required for diverse communication needs. Proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, Outlook) and data entry systems. Experience with clerical tasks such as filing, proofreading, and document management. Familiarity with multi-line phone systems and office management procedures. Demonstrated time management skills with the ability to prioritize tasks efficiently. Personal assistant or calendar management experience is advantageous; familiarity with QuickBooks or bookkeeping is preferred.
