Job Description

Job Summary We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers the opportunity to support daily office operations, streamline administrative processes, and ensure a welcoming environment for clients and staff. Responsibilities Manage front desk duties, greeting visitors and clients with professionalism and warmth Operate multi-line phone systems, handle inquiries, and direct calls efficiently using proper phone etiquette Maintain organized filing systems Coordinate calendar management for executives or team members, scheduling appointments and meetings accurately Provide excellent customer support via phone, email, or in person, addressing questions promptly and courteously Assist with office management duties such as supply inventory, mail handling, and maintaining a clean workspace Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Excellent organizational skills with the ability to multitask effectively in a busy environment Bilingual abilities are highly desirable to serve diverse clients and team members effectively Previous office experience or clerical experience demonstrating familiarity with administrative tasks Exceptional typing speed and accuracy for data entry and document preparation Knowledge of office management procedures including filing systems, calendar management, and record keeping Experience in customer service roles such as dental or medical receptionist or personal assistant roles is advantageous Ability to demonstrate professional phone etiquette and effective communication skills Basic bookkeeping knowledge including familiarity with QuickBooks or similar software is preferred Strong time management skills to prioritize tasks efficiently while maintaining attention to detail Join us in creating an organized, welcoming environment where your skills make a real difference!
