Job Description Overview:
National Trailer Source is looking for a friendly, organized, and detail-oriented Office Coordinator to join our team in Ocala, FL This front-facing, multi-tasking role is key to creating a smooth experience for customers and a productive environment for the dealership team. The right candidate will enjoy a fast-paced atmosphere, wear multiple hats with ease, and be the welcoming face of our location.

What You'll Do:
Greet and direct walk-in customers and visitors; answer and route incoming phone calls professionally Coordinate internal and external communications between customers, suppliers, and staff using our DMS and CRM Facilitate and process paperwork for vehicle sales, service tickets, parts sales, and purchase orders Take and upload inventory photos and details for web listings Manage office files and ensure all completed paperwork is sent to corporate headquarters accurately and on time Monitor and manage employee schedules; assist with clocking, time-off requests, and resolving scheduling conflicts Order and stock supplies as needed Maintain a clean, welcoming reception area and office space Assist with backend product sales on cash deals and various support tasks for the sales and service teams Promote a positive and team-oriented work culture across departments
What We're Looking For:
Experience in administrative support, customer service, or receptionist roles preferred Strong organizational and communication skills Proficiency in Microsoft Office (Word, Excel, Outlook); DMS/CRM experience a plus Ability to prioritize and work independently in a fast-paced environment Professional demeanor, multitasking skills, and team-first attitude
