Job Description
Description We are looking for an experienced Senior Administrative Assistant to support a busy engineering office. This permanent, on-site role offers an opportunity to transition into a permanent position for an organized candidate who can create high-quality technical documents, coordinate daily administrative activities, and help keep project workflows on track. The ideal candidate brings strong writing, formatting, and organizational skills, along with the ability to manage multiple priorities in a deadline-driven environment.
Responsibilities:
- Prepare, format, review, and finalize technical reports, proposals, invoices, and other project documents with a high degree of accuracy and care.
- Develop and edit advanced Microsoft Word files that include structured layouts, tables, graphics, headers and footers, and other specialized formatting elements.
- Build and maintain Excel spreadsheets used for tracking information, performing calculations, and supporting reporting needs.
- Handle printing, copying, collating, binding, and distribution of completed materials for internal teams and external deliverables.
- Support daily office operations by using and maintaining equipment such as printers, copiers, and binding machines, including basic troubleshooting and restocking supplies.
- Enter data accurately and organize both digital and physical records to ensure information is easy to access and well maintained.
- Coordinate meetings by arranging rooms, preparing materials, managing calendars, and supporting communication through Outlook and Teams.
- Arrange business travel, including flights, hotel reservations, ground transportation, and related itineraries or documentation.
- Learn and use specialized reporting tools to assist with document production, quality checks, and project support activities. Requirements
- At least 3 years of administrative or secretarial experience in an office setting that requires strong attention to detail.
- Typing speed of 50 words per minute or higher with strong attention to accuracy, grammar, and punctuation.
- Proven experience producing technical or data-heavy documents that require precise formatting, tables, figures, and organized layouts.
- Proficiency with Microsoft Office 365, including Word, Excel, Outlook, and Teams, as well as Adobe software.
- Strong Excel skills, including data entry, formulas, and basic spreadsheet analysis.
- Ability to manage competing priorities, work independently, and consistently meet deadlines.
- Strong written and verbal communication skills with a collaborative and adaptable approach to supporting teams.
- Experience in an engineering, architecture, or construction environment is preferred.
