Adminstrative Support Assistant Earthscapes Landscaping - 3.3 Palm Harbor, FL Job Details Full-time From $18 an hour 7 hours ago Qualifications Customer communication Teamwork Administrative experience Attention to detail Organizational skills Productivity software Cross-functional collaboration Office experience Full Job Description Position Summary Earthscapes Garden Room is seeking a dependable, organized, and detail-oriented Administrative Support Assistant to support the installation department's daily operations and project administration. This position works closely with the Purchasing Manager and Operations Manager to help maintain accurate project documentation, scheduling updates, client communication, and internal organization throughout the installation process. The ideal candidate is proactive, efficient, and comfortable managing multiple responsibilities in a fast-paced, team-oriented environment. Strong communication skills, attention to detail, and the ability to stay organized are essential for success in this role. Key Responsibilities Enter "No-Cut" requests and cleared dates into internal systems for accurate project tracking Coordinate with the Operations Manager regarding customers requiring "No-Cut" notifications Send approved subcontractor quotes to the Install Operations Manager for documentation and coordination Create and prepare job jackets for Operations Manager review Scan, organize, and file completed as-builts and project documentation Maintain organized digital and physical filing systems for installation records and internal use Update installation trackers with accurate scheduling, status, and priority information Confirm all project plans (demo, landscape, and hardscape) are finalized and properly saved Ensure installation documentation is complete, organized, and accessible for field crews and office staff Send official transition emails to clients moving from the design phase to the installation phase Provide regular communication to homeowners regarding scheduling updates, project progress, and reschedules Coordinate with preferred pest management vendors regarding recent installations and client information Answer incoming calls and direct inquiries professionally and efficiently Provide administrative and filing support for accounting and other departments as needed Assist with additional administrative duties to support daily office and installation operations Qualifications & Requirements 1-2 years of administrative or office support experience preferred Strong organizational skills and attention to detail Ability to multitask and prioritize responsibilities in a fast-paced environment Professional communication and customer service skills Proficiency in Microsoft Office and general office equipment Experience with Jobber or other project management software is a plus Ability to work collaboratively with multiple departments and team members Dependable, proactive, and willing to learn new systems and processes Reporting Structure This position reports directly to the Purchasing Manager and Operations Manager.
