Job Description

Department PCC Finance and Administration Department Florida State University is one of the nation's top public universities, and FSU Panama City amplifies the university's efforts to preserve, expand, and disseminate knowledge in the sciences, technology, arts, humanities, and human services professions. Responsibilities During the two week fee intake period each semester and as needed throughout each semester, independently perform specialized job processes to collect fees, fines, agency billing payments and mail in payments and associated University records; open, balance, and close teller cash drawer daily; participate in annual audit of cash in vault and cash in teller drawers; counsel students regarding University and SFS policies and procedures related to late fees and fee payments; research University records as necessary to provide appropriate assistance in response to customer service inquiries and/or problems. Provide assistance to the Finance & Administration Office and Enrollment Growth Initiative and other committees and programs as required; handle bulk mail preparations as needed; provide clerical support for special projects and events, which may include assembling event bags, making banners, signs, etc. Assist in the Mail Center with mail delivery, posting using postage meter machine, receiving shipments for campus and delivery of such; handling outgoing shipments using university UPS account and special pickups; assists the Mail Center with compiling reports. Qualifications High School diploma or equivalency and two years of experience or a combination of post-high school education and experience equal to two years. Preferred Qualifications Ability to establish effective working relationships with various departments in order to provide problem solving assistance to FSU students pertaining to their accounts. Effective customer service skills are a must. Ability to solve problem issues which include research of student accounts in order to process payments or assist with guidance on issues. Strong attention to detail to ensure student and departmental payments are handled correctly and promptly. Ability to prioritize tasks and meet deadlines, especially under time-sensitive payment deadline schedules. Helpful During the first two months, the Administrative Assistant will receive structured, hands-on training to build familiarity with university policies and procedures. The selected candidate will work closely with their supervisor to: Participate in guided training sessions on university departments and student accounts, etc. Shadow experienced staff to learn daily workflows and deadlines. Gain an understanding of department responsibilities and requirements. Take on progressively more independent assignments with ongoing support and feedback. Establish strong working relationships with team members, campus partners and students. By the end of the first 60 days, the Administrative Assistant is expected to be working independently with training as needed, being familiar with the campus departments, student accounts, and policies and procedures, and contributing independently to the department while continuing to develop advanced skills.
