You will play a critical role in driving the administrative success of a diverse portfolio, including retail shopping centers, multi-family rental projects, and industrial flex developments.

By leveraging deep expertise in Procore , you will oversee meticulous document control, seamlessly integrate accounts payable with our accounting team, and provide vital support to our Project Managers and VP.
Key Responsibilities:
Procore Software Administration System Management:
Enforce Procore standards across all active projects.
Staff Training:
Provide internal training and technical support to staff when necessary.
File Maintenance:
Create, organize, and maintain highly accessible project files.
Document Closeout:
Lead the collection, organization, and archiving of final project closeout documents.
Financial Coordination & Accounts Payable System Integration:
Manage the daily, seamless interface between Procore and Yardi accounting software.
Invoice Processing:
Track, verify, and process invoices, purchase orders, and change orders.
Financial Reporting:
Compile and distribute accurate project financial reports to leadership.
Compliance & Document Control Compliance Tracking:
Monitor and enforce the collection of required insurance, liens, and compliance files.
Workflow Management:
Manage the digital routing and approval workflows for all vendor contracts.
Electronic Filing:
Own the integrity of the electronic filing system for absolute data accuracy.
Communication & Team Support Liaison Role:
Facilitate clear, proactive communication between internal departments, vendors, and stakeholders.
General Administration:
Provide high-level administrative support to Project Managers and the VP to meet tight deadlines.
Experience & Education Experience:
3-5 years of dedicated project administration experience within commercial development or construction.
Education:
Bachelor's degree in Business Administration, Construction Management, or a related field preferred.
Technical Skills Procore Expertise:
Advanced proficiency in Procore (specifically document control, financial management, and workflows) is required .
Accounting Systems:
Hands-on experience with Yardi (or a highly similar construction accounting system) is strongly preferred .
Software:
Mastery of Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook). Core Competencies Meticulous attention to detail and zero tolerance for organizational clutter. Exceptional verbal and written communication skills. Proven ability to multitask and manage tight deadlines in a fast-paced environment.
