Job Description

We are seeking a reliable, organized, and personable Part-Time Administrative Assistant to support daily office operations. This role serves as the first point of contact for visitors and callers, requiring a professional, upbeat demeanor and strong multitasking abilities. The ideal candidate thrives in both fast-paced and quiet environments, is detail-oriented, and enjoys helping individuals from diverse backgrounds. This is a permanent part-time position and will not transition into full-time . We are seeking candidates specifically interested in a long-term part-time role , not those pursuing temporary work or future full-time opportunities.
Key Responsibilities:
Greet and assist walk-in visitors, providing guidance through the application and onboarding process Answer and manage incoming phone calls with professionalism and efficiency Respond to emails promptly and accurately Assist with onboarding paperwork and ensure compliance with I-9 requirements Process payroll using a simple, structured system Scan, file, and maintain organized digital and physical records Prepare and send invoices using QuickBooks Record deposits and update data in the accounting system Maintain accurate documentation and ensure attention to detail in all tasks Provide office HR support such as conducting Saliva Drug Test, running criminal background and drivers license checks) as needed
Qualifications:
Previous administrative or office experience preferred Strong organizational skills and attention to detail Ability to multitask and prioritize in a fast-paced environment Comfortable working independently in a small office setting Excellent communication skills, both verbal and written Proficiency with basic office software Microsoft Outlook, Excel, Word, and QuickBooks experience
REQUIRED VOIP
(Voice over IP) phone usage experience is a plus Positive, upbeat attitude with a strong customer service mindset Ability to remain patient and professional in a high-call-volume environment Adaptable and able to stay productive during slower periods Strong attendance and reliability are essential; this role requires consistent coverage on scheduled days without frequent absences. Workday's are set and required to be Mon, Tue and Friday, some exceptions may apply on a case by case basis.

This position operates in a small office setting and requires someone who is self-motivated, dependable, and comfortable working independently(alone) in the office.
