Advanced Autoguard is an industry-leading Florida-based automotive protection company that partners with dealerships to provide vehicle service contracts, GAP, tire and wheel, appearance protection, and other F&I products. Our team focuses on dealer support and reliable protection programs that help dealerships better serve their customers. About the
Position:
We are seeking a highly organized, adaptable, and motivated Administrative Assistant to join our growing team. This is not a traditional administrative role with a narrow set of duties. The ideal candidate will be comfortable wearing multiple hats, managing competing priorities, and supporting various departments as business needs evolve.

This position is best suited for someone who thrives in a fast-paced environment, takes initiative, and has a strong understanding of automotive dealership operations and terminology. QuickBooks proficiency is required, as the role will involve regular accounting and financial administrative tasks.
Key Responsibilities:
Responsibilities will vary based on business needs and may include: Providing administrative support to management and multiple departments. Managing accounts receivable and accounts payable functions using QuickBooks. Processing invoices, payments, and maintaining accurate financial records. Reconciling accounts and assisting with month-end reporting. Handling customer and dealer communications via phone and email. Assisting with contract processing, documentation, and record management. Maintaining organized electronic and physical filing systems. Preparing reports, spreadsheets, and correspondence. Coordinating schedules and meetings. Assisting with special projects and process improvement initiatives. Performing additional duties as assigned.
Qualifications:
Minimum of 3 years of administrative experience in a professional office environment. Prior experience working in or closely with automotive dealerships is strongly preferred. Solid understanding of automotive dealership terminology and operations. Advanced proficiency in QuickBooks is required. Strong working knowledge of Microsoft Office, including Excel and Outlook. Exceptional organizational and time management skills. Ability to manage multiple responsibilities simultaneously while maintaining accuracy. Strong attention to detail and problem-solving abilities. Excellent written and verbal communication skills. Ability to work independently and adapt to changing priorities. This is a Full Time, On-Site Position (9am-5pm). Hours are flexible for the right person.
Pay:
$18.00 - $22.00 per hour
