Full Job Description Job Title:
Administrative Assistant, Solar Operations Position Summary:
SunVena seeks a motivated and detail-oriented Administrative Assistant to provide essential day-to-day support for the Operations Department. The primary responsibility is to ensure all required project components are processed in a timely manner, upholding high standards of quality and efficiency to progress solar projects. This position reports to the Director of Operations.
Key Responsibilities:
Perform data entry for all new deals, transferring information from the Sales CRM to the Operations CRM. Monitor the job board to identify projects ready for install and coordinate scheduling with the Install Team. Make calls to building departments to follow up on permits. Manage and track project deliverables and timelines. Prepare and submit Notice of Commencement's for all projects. Maintain communication and positive relationships with AHJ's (Authorities Having Jurisdiction). Monitor and update permit expirations, cancellations, and existing permits. Coordinate interdepartmental communications. Perform other administrative duties as assigned.
Qualifications:
2+ years of dedicated experience in solar operations administration or project coordination. Strong understanding of the solar project lifecycle, including AHJ permitting and utility interconnection. Proficiency with CRM and project management softwares. Advanced proficiency in Word, Excel, PowerPoint, and other computer applications Excellent written and verbal communication skills, including professional telephone etiquette. Proven ability to manage complex project deliverables, multitask efficiently, and maintain outstanding organizational follow-through. Self-guided, self-motivated, and proactive work ethic.
