Role Overview The Office Administrative Assistant keeps the Lakewood Ranch office running and makes it a place people want to work and visit. This role reports to the Director of Administration and covers daily office operations, front desk and hospitality, IT and equipment support, the company's ClickUp environment, inventory, and a recurring project supporting our podcast, Smith Lane. Responsibilities Front Desk Administration Serve as the front desk receptionist and first point of contact for visitors. Greet visitors, sign them in and direct them to the right person. Answer and route incoming phone calls, take messages and field general inquiries professionally. Oversee the conference room calendar, book and adjust meeting schedules and resolve room conflicts. Keep conference rooms and common areas clean, stocked and meeting-ready with refreshments as needed. Onboarding Equipment Setup Set up and configure every new hire Mac laptop before the employee's start date, including hardware, macOS configuration and security settings. Install and update required software and connect each machine to company accounts, email and printers. Create and configure user accounts so each new employee can work on day one. Maintain a repeatable setup checklist so every Mac is built the same way. Track equipment, handle returns and reassignments and keep records of what is issued, to whom and where. Office Operations and IT Support Serve as the first point of contact for day to day office IT and equipment troubleshooting. Coordinate and follow up on office work orders and facility issues. Manage office supplies so the team always has what it needs. Handle incoming and outgoing mail and shipping, and notify staff when deliveries arrive. Coordinate office cleaning schedules, water deliveries and grocery orders to keep the office clean and welcoming. Take common area trash out daily. Inventory Management Order all office supplies and groceries. Keep the kitchen and conference rooms stocked with drinks and snacks. Maintain front desk supplies and reorder before they run out. Maintain an organized inventory of merchandise and client supplies, tracking stock levels and reorder needs. ClickUp Administration Assist with ClickUp workspace administration, maintaining spaces, folders, lists and user permissions. Create and maintain tasks, subtasks, dependencies and recurring workflows that match company priorities. Build and standardize task templates, automations and custom fields so teams work consistently. Monitor workspace activity, audit task statuses and flag at-risk items or missed deadlines early. Onboard team members on ClickUp and provide ongoing guidance on best practices.
Special Project:
Smith Lane Podcast Identify, research and reach out to potential guests. Schedule recording sessions and keep guests informed on dates, location and what to expect. Own the recording calendar and keep it current as sessions are booked, moved or canceled. Serve as the main point of contact for guests before and after recording, including sending thank-you gifts. Track all guest communications, contracts and release forms. Schedule periodic team debriefs to review the process. Qualifications Strong organizational skills and the ability to perform well in a fast-moving, high-growth environment where priorities shift and no two days look the same. A team-first mindset and willingness to pitch in on other administrative tasks. Comfortable working on a Mac. You should use macOS day-to-day and navigate the system on your own. Hands-on experience with ClickUp or a comparable project management platform such as Asana, Monday.com or Notion. Proficiency in Microsoft 365 or Google Workspace, including calendar, email, docs, sheets and slides. A professional, friendly front desk presence and clear written and verbal communication. Discretion and trustworthiness when handling confidential information. Comfort with common office technology, equipment and basic troubleshooting. A self-starter who takes initiative, owns their work and delivers without being prompted. Additional Requirements Valid driver's license with a clean driving record. Must pass a background check and drug screen. Must be able to commute to Lakewood Ranch. This job description is not intended to be all inclusive.
