ESSENTIAL JOB FUNCTIONS
Performs independent clerical and administrative work functioning as an assistant to the City Engineer and/or manager(s) of the major operating unit. Places telephone calls; greets and welcomes the public; furnishes general information on departmental functions and refers more technical questions to others for handling. Maintains division calendar, schedules and coordinates appointments, meetings, travel arrangements, etc. Researches, compiles and prepares various reports and records pertaining to the unit. Independently prepares forms and composes letters and reports for supervisor's approval. Composes and types letters, memos, agendas and reports. Attends meetings to record minutes and prepares them in final form for distribution to designated individuals or agencies. Sets up and maintains all files, reports, and related information, including office supplies. Scans files, letters, reports, drawings, and related information in the prescribed manner. Responsible for accurately maintaining records of receipts and expenditure of funds in the appropriate accounts. Prepares and maintains division personnel records and reports. Operates a variety of office equipment including a calculator, computer, fax machine, copy machine, scanner, etc. Safely operates City vehicle to travel to various locations throughout the City to perform assigned duties. Maintains project files including invoice payments and reimbursements. Coordinates with other City Departments on related items including utility service applications. KNOWLEDGE, SKILLS & ABILITIES
Knowledge of business English, spelling and math; office practices and procedures; use of operation of a variety of software programs, including Microsoft Outlook, Word, Excel, Laserfiche, and computers; and overall functions and operations of the unit. Ability to prepare documents, compose letters, memoranda, reports, and spreadsheets, etc.; make independent decisions in accordance with departmental rules, regulations and policy; and establish and maintain effective working relationships with employees and the general public.
MINIMUM EDUCATION & EXPERIENCE
- Graduation from an accredited high school or equivalency diploma. Two (2) years of secretarial/clerical, computer, and typing experience.
- An equivalent combination of education and experience that is determined to be directly related to the foregoing specific requirements may be substituted.
SPECIAL REQUIREMENTS
: Possession of a valid Florida driver's license for operating City vehicles. Driving record will be reviewed as determined by the City of Winter Haven.
