Job Description

The administrative assistant is the key member of the community who plays a pivotal role in presenting an exciting, helpful, and cheerful, first impressions to the public (guest, clients, potential residents, and families, as examples.) Must possess excellent customer relation skills. As an assistant living special projects coordinator, the Summerset team spirit is immersed in daily work assignments as well defined Projects.
Qualifications:
1. Experience in the business office operations (and the assisted living industry a plus). College degree a plus 2. Training in basic first aid and CPR 3. Genuine interest in the overall well-being of older adults. 4. Good neat appearance. 5. Good written/spoken Communication skills 6.
Good mental and physical health:
Physical examination upon employment and annually thereafter No known problems with drug and/or alcohol addiction. 7. Ability to work congenially with others 8. Possess qualities of reliability, dependability, loyalty. 9. Awareness of resident's rights. 10. Ability to carry out repetitive operations error free. 11. Knowledge of basic accounting practices and procedures. 12. Have good administrative and organizational skills 13. Possesses qualities of loyalty and dependability 14. Have good neat, professional appearance 15. Possesses the ability to work congenially with others a. Ability to work with business) associates b. Ability to work with resident's families/representative etc… 16. Is able to understand residents' rights 17. Good clerical and administrative, computer skills, and appropriate applications 18. Good communication skills (verbal and written) 19. Genuine interest in older adults 20. Alertness and ability to recognize change in resident's condition 21. Pays attention to details 22. Ability to follow procedures Responsibilities 1. Answers telephone, greets guest, and potential clients all in a cheerful and timely manner. 2. Determine the purpose of the calls clearly and transfer calls to the appropriate persons 3. Screen calls, when requested 4. Answer queries and provide correct information 5. Take and deliver messages accurately and completely 6. Sort and distribute incoming mail 7. Receive deliveries and prepare outgoing mail for pickup 8. Receive medication, packages, and inform appropriate staff, when such arrive 9. Inform appropriate persons of appointments timely. 10. Inform appropriate persons of equipment failures, preferably via email 11. Keep both living rooms tidy and organized 12. Listen carefully, give guest inquiry form, or application as appropriate. 13. Notify appropriate persons that applicant or prospective residents or in lobby. 14. Ensure that visitors are directed to appropriate destination/person. 15. Ensure that visitors are announced appropriately 16. FAX documents as requested 17. File documents as requested 18. Monitor visitor's entrance and access and maintain security awareness at all times. 19. Review potential move-in packets and ensure all is included. This will ensure that we will have all required documents. (Have list available.) 20. Review resident's file to ensure that we are incompliance. 21. Review staff's file to ensure that we are incompliance. For those persons not, notify staffer. 22. Assist accountant in computers matters, when needed. 23. Work with nursing staff on care plans' preparation and possible meetings. 24. Coordinate the Safety Program, as part of the AL special projects.
