In-person Interviews Position Summary We are seeking an Administrative Support Specialist to provide administrative and operational support for the Operations Unit within the Healthcare Facility Regulation Division (HFRD). Under minimal supervision, this individual will perform a variety of office and customer service functions while supporting daily operations and special projects. Key Responsibilities Provide administrative support to the Director of Operations and Operations Unit staff. Organize and execute routine administrative tasks and special projects. Greet internal and external visitors and manage front desk responsibilities. Answer and direct calls through a multi-line phone system. Respond to incoming calls and voicemail messages from complainants. Collect and organize information for database entry and processing by triage staff. Maintain a high level of accuracy and attention to detail when handling data and documentation. Assist internal and external stakeholders by responding to general inquiries and resolving issues. Open, sort, and distribute incoming correspondence. Manage incoming and outgoing mail and packages, including lifting boxes up to 20 lbs. Maintain inventory spreadsheets for office supplies and personal protective equipment (PPE). Monitor and track purchase order requests for the Operations Team. Perform other duties as assigned. Minimum Qualifications Associate degree; OR High School Diploma/GED with a minimum of three (3) years of related administrative support experience. Required Skills & Qualifications Proficiency with Microsoft Office Suite (Word, Excel, Outlook). Strong attention to detail and organizational skills. Excellent interpersonal and communication skills. Ability to work independently with minimal supervision. Professional customer service and telephone etiquette. Strong data entry and recordkeeping abilities. Ideal Candidate The ideal candidate is a detail-oriented administrative professional with strong customer service skills, experience managing office operations, and the ability to multitask in a fast-paced government or professional office environment. #HP1
