Job Description
Jetaire Group is a Federal Aviation Administration (FAA) approved Design Approval Holder (DAH) with Parts Manufacturing Approval (PMA) providing high-reliability electronic hardware and systems support where critical functions, durability, and peak performance are vital. We provide services to military, commercial, aerospace, and space industries. The Administrative Project Assistant is responsible for undertaking various administrative responsibilities. Duties include prioritizing emails and phone calls, gathering documents to prepare for meetings and coordinating travel arrangements. Additional responsibilities include creating project documentation, project deliverables, and providing weekly status reports. The Administrative Project Assistant must be familiar with project planning and execution.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
Responsible for planning, implementing and evaluating the smooth organization and successful execution of assigned projects. Maintains a detailed schedule for each project of all essential activities and deadlines. Coordinates with business leaders to ensure the completion of project-specific requirements. Maintain and order supplies for office and production staff. Source and manage vendors to provide maintenance and repair services for the building. Retrieve mail/packages from post office and curbside box, handle returns via, USPS, UPS, FedEx, etc. Prepare and edit correspondence, reports, presentations, and other documents as required. Plan and coordinate company events, meetings that include catering, and attendee coordination. Act as a liaison between management and internal or external vendors. Assist in various administrative tasks related to ongoing projects, including documentation, scheduling, and tracking. Manage travel logistics that includes booking flights, hotel accommodations and transportation. Assist in planning and execution of key projects, collaborating with cross-functional teams to drive successful outcomes Track and report project progress, update documentation, direct quality assurance. Effectively manage project activities in excel and project management software (monday.com) Manage business leaders' calendar includes making appointments and prioritizing sensitive matters.QUALIFICATIONS
BA degree in Business or relevant field. 3-5 years' experience in project and/or administrative coordination preferably in aviation, engineering or a technical environment. Exceptional project management skills; includes ability to manage multiple projects of diverse scope. Proficient in Microsoft office. High level of professionalism, attention to detail, and strong communication skills. Performs effectively under pressure and adapts well to change. Exceptional project management skills; includes ability to manage multiple projects of diverse scope. Develops positive working relationships. Exceptional writing, editing, and proofreading skills. Project Management Certification preferredPay:
