This position is non-exempt, hourly $41,512.00-$50,018.23 DOE This is administrative and clerical position within the Financial Services Department. The position is responsible for the administration and execution of the Occupational Tax License, Short-Term Rental Permit process and utility services for the City of Hapeville. Work may be varied in nature, but follows prescribed procedures, and assignments are often repetitive. The employee in this position is required to deal courteously, patiently, and efficiently with the public and personnel from related agencies always. Answer phones and greets the public. Interprets, applies, and ensures compliance with all applicable codes, laws, rules, regulations, standards, policies and procedures; assists with complex/problem situations, and provides technical expertise, initiates any actions necessary to correct deviations or violations. Bilingual in English and Spanish highly preferred. Essential Duties and Responsibilities - this list is not all-inclusive. Greets the public at the counter and on the phone and assists with their requests and/or questions. Effectively resolve problems for customers within the guidelines of City policies and statutes. Directs calls, takes messages, and answers general questions related to the city and questions dealing with business licenses. Practices good oral and written communication skills as a tool for resolving conflicts with customers. Assists with occupational tax license approvals and renewals. Receives occupational license applications; reviews applications for accuracy and completeness; enters data from applications into computer; calculates license fees and any penalties Assists citizens with information on obtaining an occupational tax license. Prints license certificates and license reports; verifies license information and mails to applicants. Coordinates license renewal process; prepares and mails out license renewal notices. Receives moneys in payment of taxes, penalties, utility payments, or other fees; records transactions and issues receipts; verifies monies received for deposit and generates report for deposit of money. Closes out the day on the computer and distributes reports, as necessary. Files and retrieves materials and data from manual filing systems and computerized databases. Monitors inventory of department equipment, forms, and supplies; ensures availability of adequate materials to conduct work activities; initiates request for new/replacement materials. Be dependable and always meet acceptable attendance requirements. Follow all applicable safety rules and regulations. Attend meetings/workshops/training as required. Traveling may be required. Performs other duties as assigned.
Qualifications Minimum:
Two years occupational tax license and/or building permitting experience or related customer service experience and a high school diploma equivalent. Must be proficient in Microsoft Office programs, particularly Excel, Word, and Email OR One year of related government administrative office experience or satisfactory completion of a business or related training curriculum.
