Job Description

We are looking for an organized Administrative Assistant to support daily office operations for a construction and contractor environment in Macon, Georgia. This Long-term Contract position will provide essential coordination for department leaders and staff by handling documentation, scheduling, records, and front-office administrative tasks. The ideal candidate is detail-oriented, dependable, and comfortable managing sensitive information while keeping multiple priorities on track.
Responsibilities:
  • Coordinate administrative activities for leadership and team members, ensuring daily office functions run efficiently and professionally.
  • Draft, format, and distribute letters, reports, meeting agendas, and other business documents with accuracy and attention to detail.
  • Organize and maintain tenant, applicant, and program records in alignment with established agency guidelines and documentation standards.
  • Arrange calendars for appointments, inspections, interviews, and internal meetings while helping stakeholders stay informed of upcoming commitments.
  • Enter information into databases, update records promptly, and support overall file accuracy through consistent data management practices.
  • Manage incoming and outgoing mail, monitor office supply levels, and help maintain an orderly and well-supported workspace.
  • Provide administrative assistance for application intake, recertification activities, and waitlist support as needed across housing-related programs.
  • Monitor due dates, required forms, and supporting paperwork to help ensure timely completion of program-related administrative processes.
  • Assist with basic transactional tasks such as purchase order preparation, invoice handling, and other routine office support duties.
