Job Description
JOB SUMMARY
This position performs general office work in a school. The work of the class consists of varied general office duties involving skilled operation of office equipment, standard office procedures and responsible contacts with students, parents and others. Workers maintain and report attendance, type reports, answer phones and take messages, photocopy and assemble materials, and maintain files. The work requires prior office clerical experience and the ability to acquire word processing skills. Fully experienced workers use initiative and independent judgment to follow through on matters to see that assigned tasks and activities are completed.DISTINGUISHING CHARACTERISTICS
This job has no supervisory responsibilities.ESSENTIAL JOB FUNCTIONS
Composes, or transcribes from rough draft, correspondence, bulletins, memorandums, and other material. Compiles and files student grade and attendance reports and other school records. Handles student registration and withdrawals. Assists teachers in student record management. Handles payrolls for substitute teachers. Disperses personnel forms. Maintains various employee records and files. Conveys messages to students, faculty and staff. Responsible for morning reports and electronic transmission of data. Responsible for coordination of field trips. Secures signatures, completes requisitions and maintains documents on orders to be processed and received. Receives and distributes mail. Greets visitors to school, determines nature of business, and directs visitors to destination. Answers telephone to provide information, take message or transfer calls. Orders and dispenses school supplies. Disburses funds, records financial transactions, and audits and balances student organization and other school fund accounts. Provides such information in a timely manner. Maintains calendar of school events Responsible for data entry on computer. Performs bookkeeping and creates and maintains spreadsheets as requested. Responsible for FTE reports and documentation. Insures that each child leaves with correct party. Responsible for the maintenance of school files in an accurate manner. Responsible for administering occasional minimal medical attention.MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS
High school diploma or equivalent; Associate's degree preferred. Two (2) years of progressively responsible secretarial and office experience, of which must be at the School Secretary I or equivalent level. Must be technologically adept and literate. Or an equivalent combination of education, experience, and/or training that provides the required knowledge and abilities.KNOWLEDGE, SKILLS AND ABILITIES
Thorough knowledge of modern office practices and procedures. Knowledge of office management, standard records procedures, and business English. Computer knowledge and proficiency to include multiple word processing, spreadsheet, and financial record systems. Excellent problem-solving, organizational, communications, and interpersonal skills. Ability to handle multiple tasks simultaneously, independently, and proactively. Ability to meet deadlines. Ability to maintain confidential and important operating records and prepare reports from such records. Ability to compose letters and other correspondence in response to inquiries. Ability to deal effectively and courteously with the school community. Ability to exercise sound judgment and discretion in applying and interpreting school policies and procedures.CERTIFICATION, LICENSE AND SPECIAL REQUIREMENTS N/A.
Salary/Terms/Benefits:
215 day work year; 8 hours per daySalary:
Grade 117H:
Hourly (placement on salary schedule based on years or experience). Up to ten (10) years allowed. The stated salary range reflects the opportunity for pay over the course of the employee's tenure. The top pay is not a potential starting salary.
