- 30% Provides comprehensive administrative support, including answering phones, responding to emails, greeting visitors, managing correspondence, filing documents, and supporting general office operations.
- 50% Maintains and manages the secured access system for the Office of the Vice President for Student Life and the Office of the Dean of Students, including assigning and updating access permissions, monitoring usage, and ensuring compliance with institutional security policies.
- 15% Coordinates purchasing activities for the department, including processing orders, maintaining records, tracking expenditures, and ensuring adherence to institutional procurement guidelines. Other
- 5% Performs other duties as assigned, including serving on division or campus committees and contributing to special projects. All employees within the Division of Student Life are expected to assist with at least three student events or programs per semester that occur outside of regular business hours. Examples of qualifying events include, but are not limited to:
Fall:
Week of Welcome, Move-In Days, Family WeekendSpring:
Homecoming, Spring Concert, Family Day, Preview Days, and Junior Day The specific list of eligible events and programs for each semester will be maintained and communicated by the Office of the Vice President for Student Life. Required Qualifications Educational Requirements High school diploma or equivalent experience Other Required Qualifications- The employee is required to multitask and take considerable initiative in accomplishing the daily logistical needs of the student conduct system.
- This position assists with the administrative coordination of training sessions and specifically training designated personnel on the technological aspects of the student conduct software system.
- This position assists in screening calls and receiving visitors to the Office of Student Integrity & Success and handles incoming and outgoing mail to the Office of Student Integrity & Success.
- Provides administrative support as needed to the student conduct system, Title IX cases, CARE Team administration to include maintaining the conduct hearing calendar, answering and resolving requests for information, and in general public relations activities.
- The employee is required to exercise initiative in keeping informed of institutional policies, rules, and regulations and to act in a liaison capacity between the Office of Student Integrity & Success and other departments and organizations.
- This is a highly visible position with a degree of contact with users of the Student Integrity & Success office that requires exceptional reception and customer service skills.
- Position will involve working with individuals with various backgrounds. Required Experience Two (2) years of related experience. Preferred Qualifications Preferred Educational Qualifications Bachelor's degree Preferred Experience
- Experience with access control systems or scheduling software
- Familiarity with institutional purchasing procedures Proposed Salary This position is a pay grade 6.

- Knowledge of standard office administrative practices, procedures, and terminology.
- Knowledge of records management principles, including filing systems and document retention practices.
- Knowledge of calendar and scheduling management best practices.
- Knowledge of data privacy, confidentiality standards, and institutional security compliance policies. SKILLS
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other standard office productivity tools.
- Strong written and verbal communication skills, including the ability to draft professional correspondence, reports, and presentations.
- Skill in managing multiple tasks and competing priorities with accuracy and attention to detail.
- Strong organizational and time management skills.
- Skill in maintaining accurate records and tracking expenditures within a budget system.
