In this vital role, you will serve as the backbone of our office operations, ensuring smooth day-to-day functions and providing exceptional support to staff and clients alike. Duties Manage front desk responsibilities, greeting visitors and directing inquiries with professionalism and warmth Operate multi-line phone systems, answer incoming calls promptly, and route messages accurately Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents Perform data entry tasks using Microsoft Office and Google Workspace applications with precision and speed Assist with calendar management, scheduling appointments, meetings, and coordinating events efficiently Support bookkeeping activities using QuickBooks or similar accounting software for invoicing and expense tracking Provide customer service support by addressing client questions, resolving issues, and ensuring satisfaction Conduct proofreading of documents to ensure accuracy and professionalism in all communications Handle clerical tasks such as photocopying, faxing, mailing, and inventory management of office supplies Support office management activities including organizing files, maintaining equipment, and improving workflow processes Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Exceptional phone etiquette skills with experience managing multi-line phone systems and providing customer support Bilingual abilities are highly desirable to assist diverse client needs and enhance communication Previous office experience or clerical experience demonstrating reliability and attention to detail Knowledge of QuickBooks or bookkeeping software for financial recordkeeping is a plus Strong typing skills with high accuracy for data entry and document proofreading Effective time management skills to prioritize tasks efficiently throughout the workday Experience in medical or dental receptionist roles is advantageous but not required Personal assistant or office management experience will be considered an asset Join us as an Administrative Assistant where your energy fuels our success!
