Role Description This is a full-time on-site role for an Administrative Assistant, based in Honolulu, HI. The Administrative Assistant will handle daily clerical tasks, manage executive administrative responsibilities, and communicate effectively with internal and external stakeholders. They will also be responsible for maintaining phone etiquette, scheduling appointments, organizing records, and supporting the team to ensure seamless office operations.
Responsibilities:
Welcome visitors Answer phones and field calls in a professional manner. Sort and distribute incoming mail and deliveries. Restock office and kitchen supplies. Assist with the planning and coordination of office events, including client meetings, office lunches and presentations. Manage office care services. Direct contact for corporate administration Point of contact with property management and other third party services. CRM data support for sales and marketing teams. Working with our events team to find new locations and be point of contact for vendors. Overseeing the setup of the event space on the day of events. Managing the event on the day, ensuring everything runs according to plan. Assist with month end accounting tasks as directed by the accounting team. Assist with administrative support as needed and other responsibilities from the Director of HR & Administration. Qualifications Proficiency in Administrative Assistance and Clerical Skills, including organizing files, data entry, and general office management Experience with Executive Administrative Assistance, such as calendar management, meeting coordination, and supporting senior staff Strong Communication and Phone Etiquette skills, with the ability to interact professionally with team members and clients Highly detail-oriented and organized, with excellent time management skills Proficiency in office software, such as Microsoft Office Suite or equivalent tools, is preferred Experience in real estate or related industries is a plus High school diploma or equivalent; additional certifications or education in office administration is advantageous
