Job Description

Job Summary We are seeking a proactive and organized Office Assistant to join our dynamic team. In this vital role, you will serve as the first point of contact for visitors and callers, manage administrative tasks, and support daily office operations to ensure a smooth and efficient workplace. Your enthusiasm and attention to detail will help foster a welcoming environment while maintaining high standards of office management. This paid position offers an excellent opportunity for individuals with strong organizational skills, office experience, and a passion for delivering exceptional customer service. Responsibilities Greet visitors and clients professionally at the front desk, providing excellent customer service and assistance. Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette. Handle data entry, filing, and document proofreading to ensure accuracy and organization of office records. Maintain calendars, schedule appointments, and coordinate meetings using Microsoft Office and Google Workspace tools. Support bookkeeping tasks such as invoicing, expense tracking, and basic QuickBooks entries. Assist with general clerical duties including photocopying, scanning, mailing, and managing office supplies inventory. Provide administrative support to staff by managing correspondence, preparing reports, and supporting special projects as needed. Skills Proven experience with office management, clerical tasks, and administrative support in a professional setting. Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills. Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently. Bilingual abilities are highly desirable to serve diverse client needs. Knowledge of front desk operations, phone etiquette, and multi-line phone systems to handle inquiries confidently. Experience with bookkeeping software such as QuickBooks is preferred for financial recordkeeping. Exceptional attention to detail for proofreading documents and maintaining accurate records. Previous experience in medical or dental receptionist roles is a plus but not required; personal assistant experience is also valued.
