Bettendorf, Iowa • Quad Cities Region Eye Surgeons Associates (ESA) is seeking a Chief Administrative Officer to lead the practice's non-clinical operations and serve as a senior member of the executive team. Reporting to the CEO and engaging directly with the Board of Directors, the CAO oversees Revenue Cycle Management, Patient Access, the Contact Center, Optical retail operations across three locations, and ESA's Management Services Organization. This role offers a rare combination in healthcare today: meaningful executive scope, a stable physician-owned environment, an experienced and tenured leadership team, and the autonomy to shape operations directly. The successor to this position will follow a 19-year incumbent and inherit a well-established operation with clear opportunities to strengthen and grow. About Eye Surgeons Associates Eye Surgeons Associates is the dominant ophthalmology and optometry practice in the Quad Cities region, with eight physician partners, additional employed physicians and optometrists, and approximately 170 employees across three locations in Bettendorf, Rock Island, and Geneseo. ESA is wholly physician-owned, has operated continuously for decades, and maintains a deliberately analytical and stable operating culture. The CAO works within an experienced executive team that includes the CEO, the CCO, the HR Director, the Accounting Director, the Marketing Director, and the Facilities Director. Position Scope The CAO leads four operational functions and one external services line, with four direct reports and approximately 55-60 staff across the supervised areas. Revenue Cycle Management The core of the role. The CAO oversees the full revenue cycle for an ophthalmology and optometry practice, including charge capture, coding oversight, claims submission, payment posting, denial management, accounts receivable follow-up, payer contract administration, and collections. The Revenue Cycle Supervisor and a team of patient account specialists report through this function.
Specific responsibilities include:
Lead end-to-end RCM operations and KPI ownership (denial rates, clean claim rates, AR aging, net collections, days in AR). Manage payer contracts, including renewals, dispute resolution, and credentialing for providers and locations. Oversee retina drug billing and related receivables — a significant and growing revenue stream for ESA. Prepare regular financial and operational reports for the CEO, Finance Committee, and Board. Lead recovery efforts on underpaid claims and manage third-party collection relationships. Patient Access and Contact Center ESA's Patient Access and Contact Center functions handle scheduling, registration, eligibility verification, and patient communications across all three locations. The Contact Center Supervisor and Patient Access leads report through this function.
Specific responsibilities include:
Direct the Contact Center and Patient Access teams across Bettendorf, Rock Island, and Geneseo. Maintain and optimize patient-facing systems including the phone platform, Luma Health intake automation, and real-time eligibility verification. Coordinate credentialing workflows for new providers and satellite locations. Partner with the CCO to align scheduling, intake, and clinical workflow. Optical Retail Operations ESA operates optical dispensaries at all three locations with approximately 17 opticians and is a key contributor to practice operations.
Specific responsibilities include:
Oversee optical operations including inventory, vendor relationships, pricing, staff supervision, and customer service standards. Manage lab relationships, vision plan contract negotiations and configuration, and frame/lens procurement. Conduct annual physical inventories and coordinate optical team training. Management Services Organization (MSO) ESA's MSO provides billing and administrative services to Spring Park Surgery Center (in which ESA holds an ownership interest) and a small number of external clients including Waterford Family Medicine. The MSO is a developing line of business with room to grow.
Specific responsibilities include:
Operational coordination of MSO billing services for Spring Park Surgery Center and external clients. Service-level oversight and client relationship management for MSO accounts. Participation in scheduling coordination with Spring Park Surgery Center as ESA's primary operational liaison. Executive Team Contribution Beyond functional leadership, the CAO contributes to ESA's broader executive work. Attend monthly Board of Directors meetings and present operational and financial updates. Attend monthly Medical Staff meetings and serve as a resource to physicians and optometrists. Coordinate closely with the CCO, HR Director, Accounting Director, and Marketing Director. Contribute to compliance with applicable federal, state, and local regulatory requirements. Participate in operational and financial planning, vendor evaluations, and strategic initiatives as assigned by the CEO. Qualifications Required Bachelor's degree in business, healthcare administration, finance, or a related field. Five or more years of progressive leadership experience in a physician practice or comparable healthcare setting, with substantive responsibility for revenue cycle management. Demonstrated experience leading a billing or revenue cycle operation in a practice with multiple physicians and at least $10M in annual revenue. Working knowledge of physician practice billing, payer contracting, denial management, and AR performance metrics. Strong analytical skills and comfort working with financial and operational data. Effective written and oral communication, including the ability to translate complex financial and operational issues for physician and Board audiences. Demonstrated ability to supervise multiple direct reports and develop front-line leaders. Preferred Master's degree in business, healthcare administration, or finance. Ophthalmology or optometry practice experience, or experience in another surgical specialty practice. Experience with optical retail operations or vision plan administration. Experience with ambulatory surgery center coordination, MSO operations, or external client billing services. Familiarity with practice management systems such as NextGen, Athena Practice, or comparable platforms. Professional certifications such as CMPE, CPC, COE, or equivalent.
