This position will work 4 days a week (168 days been August 2026 and June 2027). We offer a competitive starting wage and excellent benefits, including IPERS. Qualifications:
High school diploma or equivalent, at least five years responsible office/secretarial experience, or any combination of education and experience that provides equivalent knowledge, skills, and abilities. Proficiency in the use and knowledge of computers and software applications and the ability to interact effectively with the public. Ability to work with frequent interruptions, coordinate several functions and projects simultaneously, and work independently without supervision.Essential Responsibilities:
Welcome and provide assistance to visitors entering the Avoca office. Create/modify correspondence and program materials for assigned staff. Assist administrative staff in preparing for future meetings. Initiate/handle correspondence and other documents for administrative and professional staff as assigned. Requires knowledge of technical software/equipment located within the building. Reviewing all leave requests, travel expenses, requisitions, purchase orders, and work orders according to established procedures. Schedule appointments and meetings as asked. Receive and process all telephone calls, relay messages, problem solve or refer to appropriate people. Receive and process all U.S. and van mail. Compose correspondence for staff signature/approval if requested. Maintain, monitor and order office supplies. Coordinate maintenance. Arrange repair/maintenance service for office machines/equipment. Participates in projects, committees or activities to support the agency's mission, goals and priorities. Provide administrative support to designation departments as needed Assist with custodial duties as assigned. Perform other duties as assigned.Physical Requirements:
Regular attendance is required. Ability to work flexible hours. Requires good eye/hand/finger coordination to keyboard and to operate office machines. Ability to communicate effectively orally and in writing. Good concentration and visual skills required. Normal, routine levels of activity related to bending, carrying, hearing, lifting, reaching, sitting, standing, vision and walking and may also involve above-average levels of activity at times that can't always be anticipated.
