Job Description

Overview We are seeking a dynamic and organized Office Associate to join our team and support the daily operations of our busy office environment. This role is vital in ensuring smooth administrative workflows, providing exceptional customer service, and maintaining an efficient workspace. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to handle a variety of clerical and office management tasks with enthusiasm and professionalism. Responsibilities Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette. Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks accounting software. Handle filing, document proofreading, and organize office supplies to ensure a tidy and efficient workspace. Support calendar management and scheduling for team meetings, appointments, and events, demonstrating strong time management skills. Assist with bookkeeping tasks such as invoicing, expense tracking, and basic financial recordkeeping using QuickBooks. Provide excellent customer support by responding promptly to inquiries via phone or email while maintaining a friendly demeanor. Coordinate office management activities including organizing files, managing office equipment, and supporting personal assistant duties as needed. Accurately maintain accounts payable and accounts receivable including auditing, paying and filing vendor invoices according to company policy and procedure, collections, preparing customer invoices, purchase orders and delivery tickets accurately and timely. Perform monthly, quarterly and year-end close efficiently, accurately and on schedule. Verify deposits are accurate and made on a timely basis. Upload and download handheld computer devices and process data according to a set schedule. Supports front counter retail as needed Maintain dealer database. Assist with inventory count and research variances. All other duties as assigned Qualifications Previous office experience or clerical experience demonstrating familiarity with administrative tasks. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Strong organizational skills with the ability to multitask efficiently in a fast-paced environment. Excellent computer literacy including data entry, typing accuracy, and general office software knowledge. Experience with multi-line phone systems and phone etiquette is essential for managing communications professionally. Knowledge of bookkeeping practices using QuickBooks is preferred but not mandatory; training will be provided if necessary. Demonstrated ability to prioritize tasks, manage time effectively, and maintain attention to detail in all responsibilities.
