TITLE:
District Office Administrative Assistant / Board Secretary
APPROXIMATE START DATE
Jul 1, 2026 (4 month training / transition period)
LOCATION
La Porte City, Iowa
TERMS:
Full-Time, 12-month position, $18.50 - $22.50 pay range
REPORTS TO
Superintendent
QUALIFICATIONS
2-year college degree, or equivalent Experience with an accounting/payroll software system. Experience as an administrative assistant Able to use Windows and Google based applications. Demonstrate integrity, professional/ethical conduct and respects confidentiality Able to adapt to and work effectively in a fast-paced environment with a variety of situations Requires command of detail, accuracy, organizational skills, and the ability to handle multiple tasks and demands. Able to communicate and interact effectively with staff and community in a professional and courteous manner Must clear criminal background checks
PHYSICAL REQUIREMENTS / ENVIRONMENT
Able to sit for long periods of time Able to stoop and bend Able to work with interruptions Able to operate basic office equipment including computers, copiers, printers Able to work independently or in small groups Substance free environment
RESPONSIBILITIES
Screen calls and visitors; maintain chain of command by directing inquiries to the appropriate staff / department Distribute school board meeting agendas and attend school board meetings Record accurate meeting minutes and submit with monthly bills listing to the newspaper for publication New employee onboarding including background checks, licensure and certification records Gather, organize, and keep regular filing system, including locked confidential files Maintain and oversee time and attendance software, including FMLA compliance Monthly, quarterly, and annual payroll processing including submission of files, reports, W-2's, and 1095's Daily processing and distribution of purchase orders Monthly accounts payable processing for district utility payments Management of Open Enrollment requests Create and distribute staff and community activity passes Handle worker compensation claims Post weather related announcements Coordinates and submits E-Rate documentation and requests Strives to maintain positive working relationships and atmosphere Displays initiative and enhances productivity Other duties as assigned
