Part-time Summary:
Responsible and accountable for administrative activities of the Agency. Is highly organized and efficient, Must be able to keep confidential all knowledge of agency, board and personnel matters. Functions as reception backup.
Supervisory Responsibilities:

- Provide correspondence, reports, documents for the Executive Director, Board Chairperson and Key Staff.
- Draft correspondence independently or based on skeletal information.
- Assemble and distribute Board packets, schedule Board and committee meetings and serve as liaison to Board of Directors.
- Schedule variety of events for Agency staff and Board.
- Make travel arrangements for Agency staff including Per Diems and generate the Per Diem schedule annually.
- Maintain Agency property inventory. Is responsible for inventory and ordering of paper, janitorial, and other office supplies.
- Ensures that all office equipment is in proper working order. Coordinates routine maintenance and repairs, schedules service calls as needed, maintains supply levels (e.g., toner, paper, ink).
- Complete monthly reporting of copy counts.
- Maintain for Executive Director an up-to-date filing system of Agency business, including individual program files.
- Responsible for publishing Board Meeting Minutes and Key Staff Minutes within three days of meeting.
- Serves as primary backup for main receptionist.
- Responsible for assisting main receptionist with timely retrieval of daily phone messages.
- Processes incoming and outgoing agency mail
- Processes cash receipts and make copies as needed.
- Proof reading of Agency documents and grants as needed
- Responsible for entering donor information into the software system and generating thank you notes.
- Monitors cleaning company performance to ensure facility cleanliness and reports issues as needed.

Experience:
High school diploma with three years' experience in administrative support and/or equivalent combination of education/experience. Associate degree in Business or related field preferred.
Pay:
From $21.28 per hour Expected hours: 25.0 per week
