JOB DESCRIPTION - SHARED SCHOOL BUSINESS OFFICIAL/BOARD SECRETARY
CERTIFICATION:
This position shall be the designated School Business Official for the District. Accordingly, this employee shall maintain the appropriate School Business Official authorization as required by law, and the Iowa School Business Official standards and criteria found at 281 IAC 81.7 shall apply to the duties of this position, except where expressly noted and agreed to by the employee and District.
QUALIFICATIONS
Four-year business-related degree, Associate Degree in accounting, or equivalent combination of education and work experience.
General computer skills. Knowledge of Microsoft Word and Excel is recommended.
Strong background and knowledge of accounting and office practices.
Ability to work directly with staff.
TERMS OF EMPLOYMENT
Twelve-month contract. Salary and benefits to be determined by the Board of Education.
WORKING RELATIONSHIPS
With all district employees, vendors, and the general public.
REPORTS TO
Superintendent/School Board
CONSULTS WITH
Superintendent, Central Office Staff, Principals, Supervisors/Coordinators, substitute teachers, classified personnel, and district permanent staff.
BASIC FUNCTION
District School Business Official.
ESSENTIAL FUNCTIONS
Supervises the fiscal operations of the school district using standard accounting and bookkeeping principles and procedures in accordance with Board policies, rules, regulations, and applicable laws.
Maintains accurate, up-to-date records of accounts receivable, accounts payable, and the financial position of the school district.
Secures an annual audit of the school district's financial records by an independent, certified public accountant selected by the Board.
Oversee all school district purchasing, banking activities, payroll, and employee benefits programs.
Quarterly and annual submissions of Title claims and the Certified Annual Report, Special Education Supplement, and Transportation Report.
Submits and certifies a yearly budget to the Department of Management.
Ensures accuracy of all payroll and payroll-related activity.
Oversee computerized employee leave, credentials, past employment, certification, and any other records deemed necessary.
Perform monthly bank account reconciliations.
Keeps records in an orderly, timely, and neat manner.
Attends all meetings of the Board.
Keeps full and accurate minutes of all Board meetings and ensures their publication.
Assists in the preparation of agendas setting forth all known items of business to be considered at Board meetings.
Performs other duties as assigned.

EVALUATION
The performance of this job will be evaluated by the Superintendent in accordance with the board's policy on the evaluation of support services personnel.
