This role serves as the first point of contact for clients, visitors, attorneys, and vendors while also providing administrative and operational support across the office. The ideal candidate is professional, detail-oriented, highly organized, and able to manage multiple priorities in a fast-paced environment while maintaining a welcoming and client-focused atmosphere.
Key Responsibilities:
Open the office each morning and ensure the reception area and conference rooms are prepared for daily operations. Greet and assist clients, visitors, and staff in a professional and welcoming manner. Answer, screen, and direct incoming phone calls and take accurate messages as needed. Coordinate conference room scheduling and assist with meeting setup and cleanup. Receive, log, and route abstracts, mail, deliveries, and other incoming documents appropriately. Sort and distribute incoming mail and coordinate outgoing UPS/FedEx shipments. Process in-person client payments and follow established payment handling procedures. Maintain office, kitchen, and reception supply inventory and coordinate orders as needed. Keep the reception area, conference rooms, and common areas clean, organized, and professional. Coordinate with building management and vendors regarding office maintenance and facility needs. Handle confidential information with discretion and in accordance with firm policies. Ensure compliance with office security protocols, including visitor sign-in procedures. Assist with additional administrative and office support responsibilities as workload demands require.
Qualifications:
High school diploma or equivalent required; associate degree or relevant coursework preferred. Prior experience in a law office or professional services environment strongly preferred. Excellent verbal and written communication skills. Strong organizational and time management abilities. Proficient with Microsoft Office Suite (Word, Outlook, Excel) and standard office equipment. Ability to multitask and remain calm under pressure. Experience handling payments, supply orders, and access credentials preferred.
Work Environment:
This position requires on-site presence during designated business hours of 8:00 AM - 5:00 PM. May occasionally require extended hours depending on office needs.
