Job Description

Compensation:
$21.54 - $26.02
Hourly DOE Application Period Ends:
Open Until Filled Job Summary Performs advanced administrative, fiscal, and program support functions for the Canyon County Extension Office. This position provides a high level of customer service, coordinates office operations, supports Extension programming, and manages financial processes. The Senior Administrative Specialist exercises independent judgment, maintains accurate records, and serves as a resource for staff, program participants, community partners, and the public.
Key Responsibilities:
Office Administration & Operational Support o Coordinates daily office operation, schedules, meeting spaces, supplies, and administrative processes o Provides support to Extension educators and staff including correspondence, reports, documentation and program materials o Maintains communication with County departments, University partners, clientele, and community stakeholders o Supports websites updates, databases, records and other department information systems Fiscal Administration & Account Management o Process County claims, invoices, deposits and financial transactions o Manages and reconciles operating budgets, program accounts, and grant funds, and financial records o Maintains accounting systems, receipts, reports and documentation in compliance with established procedures o Coordinates program payments and reconciliations including electronic payment systems Program & Customer Service Support o Assists with Extension programs, events and registrations, class materials, and participant communication o Supports 4-H programming and fair activities including entries, exhibits, judging coordination, and event preparation o Provides assistance to walk-in and phone customers by answering questions and connecting individuals with appropriate resources o Organizes and supports volunteer recognition and community engagement activities Team Coordination & Department Support o Assists with assigning priorities, coordinating workflow, and supporting administrative staff o Identifies process improvements and assists with maintaining efficient office procedures o Provides guidance and support to ensure consistent customer service and program delivery Other Duties o Performs all work duties and activities following County policies, procedures, and safety practices o All other duties as assigned Qualifications Skills and Abilities Strong customer service, communication, and interpersonal skills. Effective organization, time management, and ability to manage competing priorities Experience with bookkeeping, budgeting, financial reconciliation, and record management practices Strong attention to detail and ability to maintain accurate and confidential records Use sound judgment, problem solving, and independent decision-making within assigned responsibilities Proficiency with computers and office software including Microsoft Office and related applications Establish and maintain effective working relationships with employees, partners, and the public Communicate clearly and professionally both verbally and in writing Special Qualifications Must successfully complete a background investigation Education and Experience High school diploma or GED required; additional coursework in office administration, business, accounting, or related field preferred Five (5) years of administrative, clerical, financial, customer service, or related experience preferred. Any equivalent combination of education and experience that provides the skills necessary to successfully perform the duties of the position Essential Physical Abilities Clear speech with or without an accommodation, to effectively convey detailed or important instructions or ideas accurately, loudly and/or quickly Sufficient clarity of hearing with or without reasonable accommodation to enable the employee to hear average or normal conversations and receive ordinary information Visual acuity, with or without an accommodation, to read instructions, review and organize documents Requires sufficient personal mobility and physical reflexes, which permits the employee to function in a general office environment to accomplish tasks Ability to lift 15 lbs
