Job Description
Job Summary Headwaters Construction Company is seeking an organized and dependable Administrative Assistant to work in our Rexburg, ID office. This position provides administrative support to company leadership while vetting and summarizing contracts through the contract life cycle and project documentation processes. This role supports day-to-day operations by assisting with contracts and subcontractor paperwork, helping manage schedules, maintaining organized records, and supporting communication across teams. The ideal candidate is detail-oriented, professional, and able to manage multiple tasks in a fast-paced construction environment. To learn more about Headwaters Construction Company, please visit www.headwaterscc.com/about Responsibilities Contract & Operations Administration Assist with preparation, review, tracking, and organization of contracts and subcontract agreements Maintain accurate project and contract documentation Coordinate collection of insurance certificates, licenses, compliance documents, and subcontractor paperwork Track contract statuses, change orders, signatures, deadlines, and renewals Support project startup and closeout documentation processes Assist with document control and operational workflows Help ensure company processes and records remain accurate and up to date Administrative Support Provide administrative and organizational support to company leadership Assist with projects, operational initiatives, and leadership priorities Help maintain organization and follow-through on executive action items Support communication between departments and leadership teams Requirements Familiarity with Contract Lifecycle Management Administrative, executive assistant, operations, or contract administration experience preferred Ability to understand how a contract clause impacts daily operations across state lines or team structures Experience in construction, subcontracting, or project-based industries preferred Strong organizational and time management skills Exceptional attention to detail Strong written and verbal communication skills Ability to prioritize tasks and manage multiple responsibilities simultaneously Proficiency in Microsoft Office Suite, especially Excel, Outlook, and Word Experience with project management or construction software is a plus This job description is not intended to cover or provide a comprehensive listing of activities, duties, or responsibilities required of the employee.
