Position Summary:
The Madison County Clerk's Office is seeking a highly motivated and detail-oriented Deputy Clerk to join our dedicated team. This position plays a key role in supporting the core functions of the Clerk's Office, including document recording and indexing, processing marriage licenses and passport applications, backing up the Elections Clerk, managing mail and filing, and maintaining the office's social media presence. This role is ideal for individuals who thrive in a fast-paced, service-oriented government environment and are committed to public service and accuracy in recordkeeping.
Primary Responsibilities:
Document Recording & Indexing:
- Record and index various legal documents such as deeds, liens, mortgages, and plats in compliance with state and county requirements.
- Maintain accuracy and integrity of public records.
Marriage Licenses & Passport Services:
- Issue marriage licenses and process related documentation.
- Assist the public with passport applications and ensure completeness of federal forms.
Elections Clerk Support:
- Serve as a backup to the Elections Clerk during voter registration, absentee ballot processing, election equipment testing, and other election-related tasks.
- Help ensure compliance with Idaho election laws and office procedures.
- Will be required to work extra hours on Election Day and around election time as needed.
Office Support:
- Pickup, sort and distribute daily mail.
- File and organize documents efficiently and accurately.
- Maintain the Clerk's Office social media accounts with timely, appropriate updates and announcements.
Customer Service:
- Provide front-line service to the public, answering questions, processing payments, and resolving inquiries professionally.
- Work collaboratively with internal departments and external stakeholders.
Minimum Qualifications:
- High school diploma or GED required
- 1-2 years of clerical, legal, or government experience preferred
- Proficient in Microsoft Office Suite and general computer systems
- Strong attention to detail, organizational skills, and the ability to handle confidential information with discretion
- Excellent communication and interpersonal skills
