We are seeking a detail-oriented and service-driven Administrative Assistant to help coordinate daily transportation operations, support our drivers, and ensure seamless communication across our network.
Position Overview:
In this role, you'll provide essential support to ensure smooth day-to-day operations. You'll manage schedules, coordinate communications, organize records, and assist with general office administration. This is an ideal position for someone who thrives in a dynamic environment, is highly organized, and enjoys supporting others to achieve team success. You'll be at the heart of our operations—helping to streamline tasks, support leadership, and ensure everything runs efficiently. A strong attention to detail, excellent communication skills, and the ability to manage multiple priorities are key to success in this role.
Job Responsibilities:
Manage and organize schedules, meetings, and calendars for staff and leadership Serve as a key point of contact by handling phone calls, emails, and in-person inquiries in a professional and timely manner Support internal communication between departments and external communication with different clients Maintain accurate records, files, and documentation, both digital and physical Assist with the preparation of reports, presentations, and internal documents Monitor and manage office supplies, equipment, and facility needs Use multiple software systems to manage administrative tasks, scheduling, data entry, and communication Support onboarding of new hires with documentation and scheduling Help respond to unexpected scheduling needs or urgent administrative requests as they arise

Required Qualifications:
Fluent in English; Spanish-speaking ability is a plus Familiarity with different types of maps (physical, digital, GPS) Excellent customer service and professional phone/email communication skills Comfortable handling multiple tasks and shifting priorities in a busy office environment Strong attention to detail with accurate data entry and record-keeping abilities Able to stay calm and organized while managing urgent or time-sensitive tasks Proficient with Google Workspace (Docs, Sheets, Gmail, Calendar) and quick to learn new software tools Previous experience in administrative support, office coordination, or customer service is preferred Familiarity with scheduling tools, CRM systems, or communication platforms is a plus Why Join Aurora Naper Transportation?
