This vital role requires a proactive professional who can manage complex schedules, facilitate seamless communication, and coordinate a variety of administrative functions with precision and enthusiasm. As the right hand to our leadership, you will play a key role in ensuring the executive's day-to-day activities run smoothly, allowing them to focus on high-impact initiatives. Responsibilities Manage the travel calendar with meticulous attention to detail, scheduling meetings, appointments, and travel arrangements using Microsoft Outlook Calendar and Google Workspace. Handle incoming calls with professionalism, demonstrating excellent phone etiquette, and direct inquiries appropriately using multi-line phone systems. Prepare, proofread, and transcribe documents, reports, presentations, and correspondence to ensure accuracy and clarity. Coordinate special projects and events, including planning logistics, booking venues, managing invitations, and overseeing event execution. Oversee office management duties such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized records for easy retrieval. Facilitate communication between the CEO and internal teams or external partners through effective email management and timely follow-up. Support personal assistant responsibilities as needed, including personal scheduling or errands that enhance executive productivity. Requirements Proven experience as an executive assistant or in a similar administrative role supporting senior leadership. Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools, and office management software such as QuickBooks. Exceptional typing speed and accuracy for data entry, transcription, proofreading, and clerical tasks. Demonstrated experience in event planning, project coordination, and office management functions. Knowledge of multi-line phone systems, Microsoft Outlook Calendar management, DocuSign for electronic signatures, and basic bookkeeping principles. Outstanding communication skills with professional phone etiquette and customer service orientation. Ability to handle confidential information discreetly while maintaining a positive attitude under pressure.
