This vital role involves providing comprehensive administrative support to ensure smooth office operations, uphold organizational standards, and promote an inclusive workplace environment. The ideal candidate will be proactive, highly organized, and possess excellent communication skills to manage a variety of clerical tasks, coordinate DEI initiatives, and assist with compliance-related activities. Responsibilities Assist in the preparation, review, and organization of compliance documentation related to workforce diversity, City of Chicago residency, MBE/WBE/BEP participation, apprenticeship utilization, and grant requirements. Maintain accurate employment logs, certified payroll records, hiring schedules, subcontractor compliance documentation, and supporting workforce data. Track compliance benchmarks and participation goals, including City residency targets, local hiring commitments, apprenticeship requirements, and Business Enterprise Program goals. Compile data and supporting materials for audits, site visits, and submissions to City, County, State agencies, and funding entities. Maintain accurate records through filing, data entry, and document proofreading to support compliance documentation and DEI initiatives. Coordinate calendar management for team members, scheduling meetings, appointments, and DEI-related events using Google Workspace and Microsoft Office tools. Assist in organizing office supplies, managing inventory, and ensuring the office environment remains welcoming and efficient. Provide exceptional customer service by addressing inquiries promptly via phone or email while maintaining excellent phone etiquette. Support organization-wide compliance efforts by preparing reports, tracking deadlines, and ensuring adherence to policies through meticulous data entry and organizational skills. Qualifications Proven office management experience with strong clerical skills including filing, data entry, proofreading, and document organization. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Familiarity with bookkeeping tasks is preferred. Bilingual abilities is considered a plus but not required Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment. Strong typing skills along with good time management capabilities. Previous experience in administrative support roles such as personal assistant or front desk receptionist is desirable. Exceptional customer support skills with professional phone etiquette and organizational acumen necessary for handling sensitive information related to DEI & Compliance initiatives.
