Job Title:
Administrative Assistant II - Police Department
POSITION SUMMARY
The primary function/purpose of this job. Performs a variety of clerical tasks. Types and composes correspondence forms and various other documents. Manages office support functions. Screens incoming calls and correspondence. Provides clerical and other administrative support to the Director of Police and Command Team. Rate of Pay - $26.76 Per Hour Medical/Dental/Vision Covered 100% For the Employee Tuition Reimbursement 12 Holidays Paid Vacation, Personal, and Sick Time Position Open Until Filled
JOB RESPONSIBILITIES
The major task areas required to successfully perform this job. Performs complex and confidential clerical functions including developing written correspondence. Responds to routine external correspondence. Types memos, purchase requisitions, payment requests and other department forms and documents. Maintains confidentiality of all corporate, personnel and research matters. Attends meetings, takes and prepares notes or minutes as needed and assist with the duties of administering Municipal Court. Enters/retrieves data and information on computer and performs other computer tasks/responsibilities as assigned. Screens incoming calls and correspondence. Files documents, reports, invoices and other correspondence. Maintains files and records of a confidential nature. Performs general clerical tasks such as faxing, copying and collating information. Sorts and distributes mail. May coordinate large volumes of mail to be sent out. Purchases office supplies and maintains inventory of office supplies for department. Assumes other responsibilities as apparent or assigned.
QUALIFICATIONS
Minimum requirements to competently perform the key responsibilities of this job in terms of educational background, work experience, licenses/certifications, physical requirements and other knowledge, skills, and abilities. High school diploma or equivalent 3-5 years of office administration experience preferred Excellent written and oral communications skills; Good use of English language - speaking, reading comprehension, spelling, grammar and punctuation Ability to communicate at all levels internally and externally Attention to detail and excellent organizational skills •Ability to manage multiple actions/projects simultaneously Sound judgment and strong problem-solving skills; ability to react quickly in crisis Ability to prioritize and work independently in a high-volume and fast-paced team environment Ability to handle confidential and sensitive information in a responsible manner and to deal effectively with the public and other City employees Demonstrated PC skills, specifically with Microsoft Office programs Excellent typing skills Demonstrated commitment to customer service and exceptional follow-through Ability to work independently with minimal supervision Ability to operate required office equipment in order to send and receive information with necessary optical, auditory and manual dexterity Ability to use a keyboard to enter, retrieve or transform words or data Ability to walk, stand or sit for an hour or more at a time Ability to lift or carry objects weighting 5-20 pounds Ability to closely examine a computer screen or written reports and ability to proofread and check documents for errors Deadline to apply: July 1, 2026 To apply, submit application and resume at www.cityofedwardsville.com/hr
