A premier commercial real estate firm is seeking a polished, energetic, and highly organized Administrative Assistant to join the team at one of its flagship office properties in the Northern Suburbs of Chicago. This is an exciting onsite opportunity to become an integral part of daily property operations while partnering closely with property management, tenants, vendors, and building staff in a fast-paced, collaborative environment where exceptional service and professionalism are at the forefront. This position offers a salary of $55-65K, commensurate with experience. In this role, you will help drive the overall success of the property by supporting critical administrative operations, enhancing the tenant experience, and ensuring day-to-day activities run smoothly and efficiently. Responsibilities of the
Administrative Assistant:
Serve as a key point of contact for tenants, vendors, and building staff, ensuring exceptional customer service and prompt resolution of inquiries and requests Coordinate tenant move-ins, move-outs, and onboarding logistics while ensuring compliance with building procedures and timelines Track and manage maintenance requests and service-related issues from initiation through completion, maintaining clear communication throughout the process Prepare and distribute tenant communications, property updates, operational notices, and building announcements on behalf of management Support administrative and financial operations including invoice coordination, billing assistance, vendor documentation, and expense tracking Maintain organized records, reports, and files related to tenant activity, building operations, and vendor services Assist with tenant events, emergency preparedness initiatives, and special property projects to support an elevated tenant experience Provide general administrative support including scheduling, correspondence management, calendar coordination, and office operations assistance as needed Qualifications for the
Administrative Assistant:
Bachelor's degree required 2+ years of administrative, office coordination, or client-facing experience within a professional business environment Strong organizational and multitasking skills with the ability to manage competing priorities effectively in a fast-paced setting Excellent written and verbal communication skills with a polished, professional, and customer-focused demeanor Proficiency in Microsoft Office Suite including Word, Excel, Outlook, and PowerPoint Experience with MRI, Angus, Avid, Adobe, or similar property management and operational software preferred Strong attention to detail with excellent follow-through, problem-solving abilities, and commitment to accuracy Ability to build positive working relationships with tenants, vendors, and internal teams while maintaining a high level of professionalism and service excellence P-10
