Job Description

Job Overview We are seeking a highly organized and proactive Administrative Assistant to support the Superintendent and serve as Secretary to the Board of Education. This is a 12-month position. This vital role ensures smooth daily operations within the administrative office, facilitates effective communication, and maintains essential records. The ideal candidate will possess excellent office management skills, demonstrate strong attention to detail, and excel in multitasking within a fast-paced educational environment. This paid position offers an exciting opportunity to contribute to the success of our school district while developing valuable administrative expertise. Responsibilities Serve as the primary point of contact, greeting visitors and handling inquiries with professionalism and courtesy Operate multi-line phone systems, screen calls, take messages, and direct callers appropriately using excellent phone etiquette Prepare, proofread, and distribute official documents, agendas, minutes, and correspondence for the Board of Education and district leadership Maintain accurate filing systems—both physical and digital—and ensure confidentiality of sensitive information Support bookkeeping tasks using School ERP Pro for budget tracking and expense management Coordinate logistics for board meetings, including room setup, materials distribution, and technology support Attendance at board meetings is mandatory. Assist with data entry, record keeping, and report generation utilizing Microsoft Office Suite and Google Workspace tools Provide exceptional customer service to staff, parents, community members, and visitors through friendly communication and timely assistance Perform clerical duties such as photocopying, scanning documents, organizing files, and managing office supplies efficiently Experience Prior office management or administrative experience in an educational or professional setting is highly preferred Demonstrated proficiency in computer literacy with strong skills in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry systems Accounting or bookkeeping experience preferred. Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment Strong typing skills with high accuracy; familiarity with proofreading documents is advantageous Join our team to make a meaningful impact on our educational community!
