Mt. Carmel Stabilization Group Administrative Assistant Job Description Position Title Administrative Assistant Company Overview Mt. Carmel Stabilization Group is a leader in soil stabilization and ground improvement services, specializing in lime, cement, and other soil treatment solutions that create strong, reliable foundations for infrastructure and construction projects. Our team is committed to delivering high-quality work while maintaining efficient operations and strong organizational systems that support our field and office teams. We are seeking a reliable and organized Administrative Assistant to support daily office operations and assist leadership and staff with administrative tasks that help keep projects and business operations running smoothly. Position Summary The Administrative Assistant is responsible for providing general administrative and clerical support to company leadership and staff. This role helps maintain organization across the office by managing documentation, assisting with communication, and supporting various administrative processes related to company operations. This position requires strong organizational skills, attention to detail, and the ability to handle multiple tasks in a fast-paced work environment. Key Responsibilities Administrative Support Provide general administrative support to company leadership and office staff Answer and direct incoming phone calls and emails Assist with scheduling meetings, appointments, and company events Maintain organized filing systems for company records and documentation Prepare and distribute internal communications and documents as needed Office Coordination Assist with maintaining office supplies and ordering materials when needed Help organize company records, reports, and project documentation Assist with data entry and document management Coordinate office logistics and general office organization Operational Support Assist with preparing reports, spreadsheets, and documents Support accounting, payroll, and billing teams with administrative tasks when needed Help maintain employee records and documentation Assist leadership with special projects or administrative requests Communication & Coordination Serve as a point of contact for internal and external communications Coordinate with office staff and field personnel as needed Maintain professionalism and confidentiality in handling company information Qualifications High school diploma required; associate's degree or business-related education preferred Previous administrative or office support experience preferred Strong proficiency in Microsoft Office (Word, Excel, Outlook) Strong organizational and multitasking skills Excellent communication and interpersonal skills High degree of reliability and consistent dependability ensures tasks are completed accurately and on time. Ability to maintain confidentiality and professionalism Strong attention to detail and problem-solving abilities Reliable transportation & valid driver's license to run office errands Physical Requirements Ability to work at a computer for extended periods Ability to manage documentation and office materials Ability to perform standard office-related tasks Work Environment This position primarily works in an office environment supporting company leadership and staff. The Administrative Assistant plays an important role in maintaining an organized and efficient workplace that supports both office and field operations.
